Job Summary
The Special Events Coordinator is an integral part of the Development Team. This individual will manage, under the supervision of the Director of Development and with support from other team members, the TAA Annual Gala, TAA National Walk, 2 Regional Golf Outings and the TAA Team Tourette athletic fundraising program, including charity partnerships, chapter events, and third-party fundraisers.
Instrumental in helping us reach our fundraising goals, the ideal candidate will recruit volunteers and participants to these events and build relationships that result in innovative and creative fundraising. We would be remiss not to mention that the TAA will celebrating its 50th year anniversary in 2022.
Primary Responsibilities:
- Work closely with Director of Development to realize TAA Special event goals and objectives; spearheads implementation of said events.
- Work closely with the Marketing Department to determine and realize necessary printed and digital collateral.
- Execute/coordinate event logistics (timeline, invitations, catering, A/V, music, rentals, script, etc.) in coordination with event committees.
- Negotiate contracts and rates with outside vendors to ensure lowest costs and highest quality of service.
- Work in conjunction with TAA staff to develop appropriate mailing lists.
- Coordinate and collect items for auctions (silent or live) and/or raffle at the event when appropriate.
- Work with TAA staff to ensure necessary inventory of event supplies is available on-site.
- Work in conjunction with TAA staff, to ensure follow up Thank You letters to guests, chairs, committee members, vendors, etc.
- Ensure processing of payments to vendors.
- Proactively handle any arising issues and troubleshoot any emerging problems on the event day.
- Compile and maintain thorough and detailed records, accurately tracking participant s and donors.
- With support from development team, manage gala communication.
- Coordinate staff and volunteer assignments on event
Requirements:
- Associate's degree BA or equivalent experience preferred.
- At least one year's experience in a non-profit environment with demonstrated experience in fundraising.
- Team player that can interface with all levels of staff and volunteers. Must develop, maintain, and utilize
- Ability to effectively multi-task, establish priorities, and work in a fast-paced
- Detail-oriented and strong organizational skills. Capable of handling diversified assignments and highly adaptable.
- Excellent written, oral, and communication Self-starter, requiring little supervision.
- Proficient in Microsoft Office and successful experience using fundraising and donor management software.
- Position requires some travel, nights, and weekends.
