Full-time Office Manager - Tabeguache Family and Sports Medicine and Red Canyon Family Medicine
Tabeguache Family and Sports Medicine and Red Canyon Family Medicine, divisions of Primary Care Partners, Inc. are seeking a Full-time Office Manager. PCP pays for 100% of the employees' health insurance which is a monthly $737 benefit. This benefit equals to an additional $4.60 an hour.
Essential Job Functions: Staffing - Directly supervise, coach, train, and support Front Office, Back Office, Care Coordinators, & MOS personnel. - Administrative supervisory role for Ad vanced Practitioners, in conjunction with physicians. - Oversee interviewing, hiring, annual evaluations, disciplinary, and termination actions for all staff, in consultation with Human Resources. - Manage & coordinate all employee schedules, time off request, adequate clinical coverage, FMLA, COVID time, sick leave, etc. Operations - Write, organize, and continuously update operating policies, procedures, paperwork, protocol manuals, etc. - Respond promptly to questions, concerns and comments from all providers & staff. - Provide orientation for all new providers and staff. - Attend & participate in meetings including but not limited to: ACE/EEHR, QIS, ETF, Monument Health, PFAC, Care Coordination, PCP All Physician, PCP Leadership, Division Managers, Human Resources, Practice Transformation. - Coordinate with Marketing Director, any existing or new marketing plans - Routinely monitor monthly: - Eligibility denial data - Phone reports - Patient Attribution - Phreesia utilization - Adjustments Patient Relations - Review and approve discharges for patients of providers that have chosen to not be a part of the discharge process. - Respond to patient communication in a professional, courteous, and prompt manner; fielding complaints, questions staff are unable to answer, billing disputes, transfer requests, etc. Financial - Conduct monthly and/or quarterly cost accounting & reimbursement analysis to ensure proper reimbursement and profit margins on series and supplies rendered. - Prepare, submit, and monitor the clinic's annual operating and CPC+ budget - Provide quarterly updates to providers on Year to Date metric results to ensure proper patient care and compensation.
This includes metrics for the following programs: CPC+, Monument Health metrics, CPC+, MCD RAE/PRIME metrics, Medicare Advantage plans. - Prepare and send to owner physicians, CEO, & Finance Manager a review or comments and recommendations on the monthly financial reports. - Remain actively engaged in clinic's financial performance throughout each month & year. Practice Transformation - Oversee policy & program development & implementation as it relates to clinical quality programs & division performance. Examples include: Behavioral Health, clinic subcommittees, etc. - Work closely with Practice Transformation Director (PTD) to ensure both divisions are performing proper workflows, patient care, team engagement, and metrics are being met. - Patient Centered Medical Home (PCMH) Assist in annual recertification Miscellaneous - Oversee all provider schedules. - Available to Account Payable to approve and sign off on invoices weekly - Approve time on Time Clock Manager for all employees - Work with various PCP committees to provide division engagement and perspective. Specific to RCFM - Oversee & coordinate emergency evacuation of vaccines in necessary situations, in conjunction with the Back Office Supervisor/VFC Coordinator. - Maintain Vaccines for Children (VFC) certification for RCFM; coordinating training, completing proper paperwork, following storage and handling rules, remaining compliant on inventory and temperature reports, answering questions and fulfilling requests from State representatives, etc. (in conjunction with Back Office Supervisor/VFC Coordinator). Specific to TFSM - Work closely with Physical Therapy Specialty Center (PTSC) to ensure seamless patient care for patient rehabilitation needs. - Work to bridge working and collaboration efforts between Sports Medicine & Family Medicine specialties within the division. - Oversee therapeutic Botox service; ordering, cost accounting, reimbursement analysis, staff training. - Stay up to date on new Sports Medicine services and engage with physicians on current services to determine and recommend additions to the Sports Medicine package, improvement of current ones, and overall financial health of Sports medicine line of business.
The candidate: - Will have excellent communication and public speaking skills both written and verbal communication and with all levels of a diverse organization - Will be knowledgeable about and assure compliance with office policies, protocols and procedures - Will have budget preparation and monitoring, accounting and financial experience at the department level - Will have experience with general computer applications and specific computer applications to a medical practice or healthcare facility
