Human Resources Operations Generalist
GENERAL STATEMENT OF DUTIES:
The Office of Human Resources is seeking an HR Operations Generalist who has experience and expertise in HR transactions and operations. This position will interact with all departments and divisions of the College to enter and maintain HR related employee data from a source document into a computer system and verify entries for accuracy and completeness.
The ideal candidate will identify opportunities to make the Office of Human Resources operational processes more efficient, accurate and equitable while maintaining the highest level of confidentiality. They will be self-motivated and have the ability to work independently as well as collaborate with the HR Team.
JOB RESPONSIBILITIES: (include but are not limited to)
- Manages the administration and distribution of adjunct faculty contracts in accordance with the MCCC/DCE Collective Bargaining Agreement (CBA), College’s policies and procedures, data management (HRCMS, access database), record system, payroll and reporting.
- Manages the administration and distribution of non-benefited contracts in accordance with College’s policies and procedures, data management (HRCMS, access database), record system, payroll and reporting.
- Coordinates onboarding/orientation for all non-benefited employees including but not limited to DCE faculty, PT non-benefited staff and work-study.
- Answers and investigates all employee inquiries regarding Self Service Time and Attendance (SSTA); Monitors SSTA reports for no reported time, unapproved time, exceptions, over/under hours and payable time; Balances payable time report to scheduled hours each pay period; Resets passwords for employees as needed.
- Comply with CBAs in areas related to seniority and salary implementation and ensures compliance with applicable Human Resources policies.
- Analyzes data and develops reports for internal and external constituencies utilizing HRCMS, Data Warehouse, Datatel (Colleague), Business Objects, ImageNow, Access, Excel, etc.
- Maintains a strong working relationship with all adjuncts, College personnel, and outside constituencies.
- Completes various surveys and reports including but not limited to IPEDS, CUPA, AAUP and NECHE accreditation, while adhering to strict deadlines.
- Approves all types of HR information system transactions.
- Perform audits of own work or that of others to ensure conformance and accuracy with established procedures.
- Assist in developing, implementing and managing an organization’s compliance program.
- Trains and supports Human Resources personnel to use HRCMS, Datatel (Colleague), and other databases to meet new user proficiency requirements. Assist with gathering and measuring data.
- May lead, coordinate and drive new programs or projects by executing tasks and objectives and making recommendations as needed.
- Performs special projects and related responsibilities as initiated and requested and provides back-up assistance for other Human Resources functions as needed.
QUALIFICATIONS/REQUIREMENTS:
- Associates Degree in related field with minimum five years’ experience in a related office environment. Bachelor’s Degree with experience in higher education desirable.
- At least one year experience as a Human Resources Operations Generalist or equivalent.
- Excellent computer skills. Experience in Microsoft Suite (including Pivot Tables in Excel, Access, Power Point), HRCMS, Datatel (Colleague), Business Objects, etc.
- Familiarity with HR information systems, such as HRCMS, time/leave systems, and Interview Exchange applicant tracking system.
- Knowledge of federal and state laws and working knowledge with human resources/payroll system.
- Proficiency in oral, written communication with excellent interpersonal skills.
- Experience working in a diverse community required.
- Working knowledge of collective bargaining agreements.
- Demonstrated ability to take initiative and ownership of projects with strong attention to detail and accuracy.
- Ability to learn and apply general human resources policies using problem solving skills.
- Demonstrated ability to maintain confidentiality and effectively handle highly sensitive and personal information with sound judgement, tact and discretion.
- Ability to consistently follow through with assignments and meet deadlines.
- Collaborative team player, able to work effectively on multiple assignments in a team environment.
WORKING CONDITIONS/PHYSICAL DEMANDS:
- Normal office environment, not subject to extreme variations of temperature, noise, odors, etc.
- May use computer keyboards requiring eye-hand coordination and finger dexterity. Balancing, crouching, grasping, pulling, reaching and stooping may also be required.
