Marketing Production Specialist
RAPS is seeking a highly motivated, results-oriented individual to fill the role of Marketing Production Specialist. This is a key role for the marketing and communications team overseeing the execution of marketing campaigns and coordinating the delivery of campaign assets. Marketing communications channels include, but are not limited to email, direct mail, web ads, paid search, event collateral and signage, and branded giveaways.
The specialist should be extremely organized with the ability to multi-task. The ideal candidate is a self-starter who is detail-oriented,a quick learner, and has a can-do attitude. You must have the ability to work efficiently under pressure and handle many projects at once, often on similar deadlines. It's imperative that you're able to hold yourself accountable for day-to-day responsibilities and have strong communication and interpersonal skills.
Preferably you will be based in the DC Metro Area, but we are open to candidates from other US locations. Required travel is approximately 10% for team-building activities or meetings.
This position works directly with team members across the marketing and communications department to ensure marketing campaigns, collateral and special projects are prioritized, tracked, coordinated, scoped, assigned and delivered on time. This position is the primary organizational liaison with internal/external project stakeholders, as well as freelancers, printers, mail houses and other external vendors.
In this role, you will:
- Facilitates communication with internal and external stakeholders to support the creative and marketing process for all marketing campaigns, collateral and special projects (includes initial project scoping, through the design process, review, and into the final stages of approval and delivery)
- Partners with creative, marketing and events team members and leaders to assess talent and execute project resourcing decisions
- Maintains a deep understanding of team members' responsibilities, skills, strengths and bandwidth
- Maintains constant knowledge of current and upcoming projects, with a focus on streamlining and optimizing efforts to meets organizational goals and objectives
- Resolves problems, answers questions, and assigns and prioritizes work
- Manages, monitors and tracks multiple project workflows with resourcing in mind
- Maintains resource management tracking process via shared project management software (Trello)
- Runs daily team scrum to ensure collaboration and help identify areas for cross-promotion
- Cultivates, negotiates and manages relationships with external contributors and agencies, including serving as primary contact with print and mail-house vendors
- Researches and negotiates best deals for branded swag and tchotchkes, and manages organizational needs and inventories for giveaways
- Liaises with various team members and outside vendors to facilitate freelance requests
- Assists with minor layout revisions, updates to existing artwork, pre-flighting printer files, etc.
Key requirements include:
- 3-5 years production/traffic experience
- Knowledge of the structure and operations of a creative department and/or marketing agency
- Knowledge of project and resource management methodologies, tools, processes, principles and best practices; familiarity with Agile marketing principles preferred
- Knowledge of print and mail-house bidding processes
- Digitally savvy; able to work remotely and connect through daily virtual meetings
- Excel or Sheets expert; process savvy and extremely organized
- Experience that shows strategic, creative and analytical thinking
- Sound judgment, ability to make tough decisions, keen negotiator
- Solid presentation skills and experience successfully pitching new ideas; strong ability to influence with excellent written & oral communication skills
- Excellent internal/external communication and proofing skills
- Strong, proactive, solutions-based approach to problem-solving
- Collaborative, multi-tasker with an attention to detail who thrives working in a fast-pasted, dynamic environment
- Proficiency with Microsoft Office and Adobe Creative suites, as well as project management software (Trello familiarity preferred)
