Legal Publications Administrative Assistant

We are looking for someone to provide a variety of administrative, secretarial, clerical, marketing, and production support for the Legal Publications Department.
What you will do:
Provide support to the Legal Publications Manager and other department staff by composing and typing a wide variety of reports and documents, filing, and other clerical tasks. Sort and distribute mail for department.
Send e-mail reminder notices to authors, grant extensions, and provide status updates to editorial review boards on the progress of chapter submissions. Serve as administrative contact for authors and editorial review board members.
Serve as liaison to indexing, copyediting, printing, and binder vendors. Upload files to file transfer protocol (FTP) site for printing vendor.
Maintain supply of volunteer recognition materials and office supplies for the department. Support program activities and accounts payable by completing check requests and monitoring program expenses.
Secure copyright and Library of Congress numbers for books.
Update editor and author information in the Oregon State Bar (OSB) database.
Provide customer service for BarBooks, eBooks, and print books, including taking telephone orders; assisting members, nonmembers, and staff via telephone or in person with various service calls including publication and seminar transactions; processing standing orders; and processing paid accounts for BarBooks.
Set up all products and campaign codes in association management system (AMS) database; draft and post marketing copy and articles on Legal Publications blog; and coordinate and monitor the progress of marketing pieces. Collaborate with the OSB Creative Services Department and CLE Seminars Program as needed to carry out marketing campaigns. Participate in any relevant marketing meetings.
Schedule delivery of e-marketing and print communications to target audiences. Use AMS database to create marketing distribution lists. Use appropriate software to send mass and targeted email marketing. Enter and retrieve customer information using the OSB's AMS and customized databases.
Provide backup for the CLE Service Center and OSB receptionist lunch and breaks as needed.

High school diploma or equivalent.
Two years of experience in secretarial or administrative type office work.
Demonstrated knowledge of data entry and data queries.
Demonstrated knowledge of Microsoft O365 Office Suite in a Microsoft Windows environment with particular emphasis on Word and Excel. Experience to include macros and styles. Ability to become familiar with OSB-specific programs and software.
Experience with electronic marketing concepts including website, email, and social media communications.
Ability to type 60 WPM with accuracy.
Demonstrated knowledge of editing and proofreading skills.
For this non-exempt position, the salary is $22.00 per hour. The OSB offers excellent benefits including voluntary 6% participation in the PERS program.
