Administrative Assistant Full Time position available Monday – Friday 8 am – 5 pm schedule Excellent Benefits $17 - $20 per hour.
Summary
Conducting administrative duties through a variety of verbal and written forms. Properly answering, screening, directing and handling of phone calls, mail, faxes, supplies, bills, and inquiries. Prepare and compile a variety of insurance-related documents according to procedures and functions of the agency, using several electronic systems.
Performance Expectations/Responsibilities
- Communicate directly with clients, insurance carriers, and others via the telephone, in person and in writing.
- Tasks specifically involving clerical duties necessary for the proper functioning of the agency’s office and business - e.g., delivering messages, performing limited cashier duties, updating lists, records, etc.
- Participation in and attendance at various meetings, conferences and workshops as may be directed or scheduled.
- Demonstrate the ability to complete work assignments timely and effectively; and make proper decisions within a degree of independent thought and action through established procedures and processes.
- Possess the interpersonal skills necessary to work in a cooperative and pleasant manner in a variety of circumstances and conditions which may be stressful from time to time.
- The ability to perform effectively in verbal interactions both on the telephone and in person for the purpose of completing assigned duties.
- Maintain appearance of waiting area.
- Stock supplies as necessary.
- Coordinate scheduling of conference rooms for meetings/appointments.
- Electronic retrieval of Insurance notifications including policies, endorsements and all other items related to client accounts.

Education/Training Requirements
- At least 3-6 months of successful receptionist and secretarial support experience or direct service work in an office setting is required. Other education and experience may be substituted on a month for month basis to meet the minimum requirements
- A demonstrated ability to work with people under stressful or demanding conditions.
- Possess a friendly, cooperative attitude and positive interaction style in dealing with people - including the insureds, insurance agents, providers, coworkers, and management staff.
- Clear, audible and pleasant-sounding speaking voice as heard both in person and on electronic phone communications.
- Ability to use a personal computer, calculator, agency automation system and various software programs, including but not limited to Microsoft Word, Excel, Outlook and PowerPoint.
