The Office is currently seeking candidates to fill one full-time Payroll Clerk vacancy in the Finance Department. The successful candidate should be comfortable in a professional environment and must have the ability to multitask, be highly organized and detail‑oriented. This position is responsible for providing payroll and accounts payable processing services for the Attorney General’s Office for both classified and unclassified employees. The incumbent will perform these functions in accordance with all requirements set forth in state policies and procedures, and bargaining unit agreements and plans.
Examples of Job Duties:
- Reviewing, analyzing, and validating employee timesheets and time entry and resolving discrepancies;
- Calculating and processing payroll adjustments;
- Researching, analyzing, and compiling relevant payroll reports;
- Working with appropriate staff and employees to resolve discrepancies;
- Processing employee expense reports; and
- Processing accounts payable invoices.
Minimum Qualifications
- At least one (1) year of previous experience with payroll administration sufficient to process a biweekly payroll for over 300 employees;
- Familiarity with and experience applying the Federal Fair Labor Standards Act (FLSA) and the Family and Medical Leave Act (FMLA) in regards to payroll compliance;
- Accounting skills sufficient to understand and following State of Minnesota policies and procedures, and applicable bargaining unit agreements/plans related to payroll entry and processing;
- Customer service skills (written and verbal) sufficient to handle customer inquiries in a clear, concise, positive and proactive manner;
- Ability to maintain confidentiality and handle sensitive information;
- English language skills sufficient to speak, read, understand and respond to a variety of written and spoken communications, such as customer questions and detailed instructions and procedures;
- Data entry skills sufficient to compile, sort, and verify data accuracy before entering it, and input data accurately;
- Analytical skills sufficient to audit, identify and correct data errors;
- Proficient with Microsoft Office products including Word and Excel; and
- Strong attention to detail and high degree of accuracy.
To be considered at the Legal Assistant 3 (LA3) level applicants must have at least one (1) year of previous experience with payroll administration.
To be considered at the Legal Assistant 4 (LA4) level applicants must have at least two (2) years of previous experience with payroll administration.
Preferred Qualifications
- Experience in State payroll system (SEMA4); and/or
- Experience in State accounting system (SWIFT).
