POSITION COMMENTS:
• 8.0 hours per day / 260 workday contract

• Salary: $27.17 to $27.99 DOE
MINIMUM QUALIFICATIONS:
• High School Diploma equivalent.
• AA degree (or higher) preferred.
• Human Resources and/or Payroll related experience.
• Experience with MS Word, Excel and other computer applications.
• Considerable knowledge of standard clerical and administrative office practices, processes, and
equipment, including data gathering, maintaining information and records.
• Type accurately and ability to use correct spelling, punctuation, and grammar.

JOB DESCRIPTION
Human Resources/Payroll Assistant
Essential Duties and Responsibilities:
• Attends meetings and in-services (e.g. district HR/Payroll meetings; district-wide meetings;
specialized software training events; HR/Payroll conferences and workshops.) for the purpose of
receiving and sharing knowledge and procedures related to all HR/Payroll operations; helping to
ensure compliance with all legal requirements and the provision ofsound HR/Payroll practices.
• Assists and responds to inquiries and questions from new hires, principals, supervisors, and staff.
• Verify leave balances as pre-arranged leave forms/requests are submitted; verify monthly that
submitted leave requests are entered in payroll system; resolve any discrepancies concerning leave
balances.
• Perform necessary computations from source documents to assist with the payroll process.
• Produce routine letters regarding employment (new hire paperwork) or other personnel matters.
• Create new hire employment packets to include the tracking of new hire paperwork to ensure
proper documents are received, reviewed and processed in a timely manner.
• Assist with the development of human resources/payroll forms and records; ensure proper routing
and disposition of records; explain and obtain necessary forms from new employees; ensure
confidentiality of employee data.
• Assist with the employee benefit program to include meeting with new employees to review benefit
options.
• Verify substitute timesheets for accuracy and submit to program directors for budget coding and/or
approval. Enter approved substitute timesheets into payroll system.
• Prepare, process and track reasonable assurance letters and annual sexual misconduct verifications.
• Assists with the tracking and monitoring of leave in accordance with the Federal Medical Leave Act
(FMLA) and Washington State Paid Family and Medical Leave (PFML) to ensure compliance.
• Completes personnel I-9 verifications for the purpose of ensuring accurate employment records in
compliance with District, state, and federal requirements and following applicable employment
guidelines and laws.
• Assists with the process of unemployment claims.
• Assists with the completion of salary surveys.
• Assists with the completion of employment verifications.
• Assists with distributing and tracking employment contracts.
• Plan, organize and coordinate District’s annual benefit fair.
• Coordinate and compile new employee orientation notebooks for distribution.
• Completes special projects related to human resources/payroll operations for the purpose of
updating department procedural activities, improving department operations, and/or assisting
others with human resources/payroll related functions.
• Assist district receptionist and other district office personnel as may be required for the purpose of
ensuring an efficient and effective work environment.
• Perform other related duties as required to support these functions and responsibilities.
• Uphold East Valley School Board Policies, follow administrative procedures, adhere to the Code of
Professional Conduct, and enforce school rules.
QUALIFICATIONS:

▪ Initiative, skill, and interest in the field of Human Resources or Payroll.
▪ Ability to understand and apply program concepts, policies, and procedures in the work
environment.
▪ Ability to learn applicable HR and payroll policies, procedures, including law and regulations.
▪ Ability to effectively interface with individuals or groups of people representing various
backgrounds and disciplines.
▪ Ability to communicate clearly and effectively orally and in writing, including explaining
processes and procedures to others.
▪ Ability to independently organize and prioritize work assignments and coordinate a variety of
tasks with good attention to detail and ability to deal with conflicting priorities and deadlines.
▪ Ability to work effectively in a participating team environment.
▪ Ability to accurately compile, monitor, track, gather relevant data, and compile routine reports.
▪ Ability to operate standard business computer software, including word processing, spreadsheet
and database programs or other application software as required for position.
▪ Ability to learn to effectively utilize and operate sophisticated automated record keeping
systems and equipment.
▪ Ability to maintain confidentiality requirements.
