Department Summary
The Division of Undergraduate Education and Student Success (UESS) promotes academic excellence, universal access, engagement and achievement for the student scholar. UESS programs focus on the educational trajectory of the student by providing opportunities and services essential for progress toward scholastic objectives and intellectual development. UESS departments and programs serve the entire population of UO undergraduate students and partner closely with other campus units to support student success and engagement.
UESS departments and programs include: the Accessible Education Center (AEC); Center for Undergraduate Research and Engagement (CURE), Office of Distinguished Scholarships (ODS), and McNair Scholars Program; Academic Residential Communities (ARCs), First-Year Interest Groups (FIGs), Summer Academy to Inspire Learning (SAIL) and UO Common Reading; Office of Academic Advising (OAA), PathwayOregon and Student Support Services; Tykeson Hall Academic and Career Advising; Tutoring and Academic Engagement Center; and UESS Administration.
The UESS Administration office provides strategic direction and leadership to the division to effectively promote and administer campus-wide student success and engagement efforts. The UESS Admin team provides centralized business and program support to each of its departments and programs.
Position Summary
The UESS Administrative Program Assistant (APA) provides operational and project support to UESS administrative functions including HR, business, and finance. The APA serves as the point of contact for UESS travel coordination, IT inventory and management, and provides search and onboarding support in the division. The APA collaborates with UESS admin and program staff to organize and arrange divisional activities and events; research and collect data; compile information; and assist with reports. The APA undertakes assigned projects from set-up to completion with minimal guidance.
Due to the sensitive nature of personnel information, the ability to maintain confidentiality standards is of the utmost importance. The APA reports to the Assistant Vice Provost for Strategic Initiatives and Administration.
The APA must exhibit professionalism, collegiality in a team environment, and the ability to contribute to a welcoming and professional atmosphere in the office. This person must be culturally competent, with the ability and commitment to work with individuals from diverse backgrounds.
Minimum Requirements
- Three years of office experience which included two years at full performance level and experience generating documents; and
- Lead work responsibility or coordination of office procedures.
Professional Competencies
- Strong written and oral communication skills, including the ability to write and speak on behalf of UESS regarding its programming, policies and procedures.
- Demonstrated organizational skills with the ability to prioritize and multi-task effectively in a fast-paced, detail oriented, and time sensitive environment.
- Demonstrated proficiency with MS Office Suite (or similar), especially calendaring, email, and word processing software.
- Demonstrated ability to problem solve and resolve issues with minimal supervision
- Demonstrated ability to adjust with change and create systematic process and procedures
- Ability to produce professional correspondence, documents, and presentations.
- Demonstrated ability to work collegially and collaboratively with diverse internal and external constituencies.
- Demonstrated understanding of issues facing diverse groups, e.g., low-socioeconomic, first generation, underrepresented, non-traditional, disadvantaged, and under-prepared individuals.
Preferred Qualifications
- Two-years of professional experience in higher education.
- Bachelor's degree.
- Experience using Drupal and Wordpress to edit website content.
- Experience with special event planning and coordination.
- One-year of professional experience implementing programming.
