Administrative Assistant
Position Summary
Provides high level administrative support to the Chair of the Department of Management, department faculty, and the Supply Chain Management Institute. Responsible for the day-to-day operations of the Department of Management. Assists with activities such as scheduling, responding to inquiries and providing information to students, managing budgets, faculty searches, scholarships, external communication, and other administrative activities as needed. Serves as the liaison between the department and other units on campus, companies, and alumni.
Essential Duties, Tasks and Responsibilities
- Responsible for the day-to-day operations of the Department of Management. Develops and implements policies and procedures related to the department’s administrative operations.
- Assists the Chair in administrative duties.
- Assists the Chair in developing course schedules and enters schedules into the CSS systems. Reviews assigned classrooms and resolves conflicts. Monitors wait lists, adds students to classes according to academic need and timing. Monitors student prerequisites and removes students from courses if necessary.
- Responds to inquiries and provides general information to Department of Management students regarding specializations, course prerequisites, course sequencing, class selection availability, and student organizations.
- Assists Chair and Director of Supply Chain Management Institute with budget development, monitors operating and foundation budgets and does. Monthly department budget reconciliation. Uses spreadsheets to develop graphs and charts.
- Pays bills, uses FalconPurch for ordering supplies, assists faculty with expense reports
- Plans and implements two Supply Chain Networking Dinners per year. Sends invoices, tracks donations, maintains SCMI membership list, and communicates with members. Assists in recruiting new members.
- Responsible for administration of department scholarship program and serves on the scholarship committee. Tracks donations, promotes to students, sends notification letters to students, coordinates with College Scholarship process, and makes disbursements.
- Assists with faculty search committees. Completes required forms and follows university processes, places ads, arranges lodging, transportation, interviews and presentations for prospective faculty members. Ensures compliance with university hiring and affirmative action policies. Tracks and forwards for reimbursement costs associated with searches.
- Supervises student employees and graduate assistants.
- Management offices for graduate assistants assigned to the department.
- Handles questions and complaints from students, parents and other campus offices, corporations, organizations and the general public.
- Responsible for the updating and maintenance of department web page.
- Schedules meetings, appointments and records minutes of meetings.
- Greets visitors, answers telephones, and provides general information. Receives and routes mail.
- Manages the course evaluation process for department courses. Enters information into a spreadsheet.
- Maintains information concerning graduating student placement.
- Plans and organizes department events, conferences and gatherings as needed.
- Arranges for purchase, repair and maintenance of office equipment.
- Does training and stays current on all university information systems that are required for us in the positon.

Minimum Qualifications
Required Experience
- One-year related experience required
Required Education
- High school diploma or GED required
Salary
Full-time, twelve-month classified staff position. Pay grade 26/$17.19/hr. Full benefits package available.
