Amherst College invites applications for the Executive Assistant to the Chief Financial Officer position. The Executive Assistant position is a full-time, year-round position, job group and level AO-5.

Summary:
The Executive Assistant to the Chief Financial Officer provides administrative support to the Chief Financial Officer (CFO) and executes a portfolio of administrative programs and processes. Requires discretion and sensitivity to issues of confidentiality, attention to detail, independence, problem-solving, organizational, interpersonal and communication skills, as well as the ability to prioritize and function efficiently in a fast-paced environment.
The Executive Assistant takes appropriate actions to support a diverse workforce and participates in the College's efforts to create a respectful, inclusive, and welcoming work environment.
Summary of Duties and Responsibilities:
Administrative Support to the CFO
- Facilitate the efficient utilization of the CFO's time through development and coordination of a complex calendar. Assist other members of the CFO's leadership team with scheduling requests.
- Represent Finance in communications with a diverse set of internal and external constituents serving as the first point of contact in the CFO's office. Warmly engage, exercise independent judgment, and respond to inquiries with discretion, providing accurate information regarding College policies or decisions
- Ensure the completion of a broad range of administrative tasks for the CFO including: handling mail, arranging travel, expense reports, and invoice processing; composing and preparing correspondence; maintain CFO's files; and coordinate materials for Trustee meetings.
Stock Gifts
- Serve as the main contact at the college to manage all aspects of the stock gift process from the transfer to the college through the sale of the securities. Reconcile the temporary securities gift account monthly.
Administrative support and coordination of several college programs/policies
- House Subsidy Program and Second Mortgage Program: Respond to all inquiries regarding the down payment assistance program and prepare all documents once approved.
- College house sales and buy backs: Coordinate the closing documents for the college when college houses are sold or bought back, arranging for legal work and funds to be at closings as necessary; prepare subordination agreements and discharge of mortgage; keep appropriate records to ensure that the College's guidelines are met and interests protected.
- Grant-in-Aid Awards: Administer grant-in-aid program for children of College employees, which includes receiving requests once approved by HR and determining eligibility and grant amount, processing and paying grants through Workday, and keeping running records of awards to ensure compliance with College guidelines.
- American Express Corporate Credit Card program for employees: Handle ordering, distributing, canceling the College's corporate American Express, and paying renewal fees.
Quarterly/annual forms/filings
- Prepare and submit various forms and review, process, and pay real estate taxes in coordination with the Controller's Office.

Experience:
Required:
- 5+ years of related experience
- Strong organizational and critical thinking skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Strong interpersonal skills and the ability to build relationships with diverse stakeholders including faculty, staff, trustees, alumni, parents, students, college lawyers, brokers, and visitors
- Problem-solving skills and decision-making capability
- Ability to take initiative, work independently and collaborate with other team members
- Ability to handle confidential information with discretion
- Strong written and verbal communication, interpersonal, and customer service skills
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google Apps, and ability to learn new software programs
- Experience with and enthusiasm for working with diverse populations
- Associate's degree
