DEPARTMENT: CUSTOMER SERVICE

CLASSIFICATION: NON-EXEMPT

REPORTS TO: CUSTOMER SERVICE MANAGER OR SUPERVISOR

SUPERVISES: N/A

SUMMARY OF RESPONSIBILITIES: Receive relocating individuals information from national account lead source. Acting as booking agency, responsibilities including establishing survey appt, prepare and present estimate to customer, provide and obtain signed Order For Service. Established liaison for customer, national account. Coordinate and manage the relocation process for The Wheaton Group's premier account customers.

ESSENTIAL FUNCTIONS:

  • Receive national account sales lead and schedule site survey. Receive survey results and prepare estimate for customer.
  • Solely negotiates applicable pricing/discount levels per contract for competitive bids.
  • Register order and prepare, provide and scan all transit paperwork for signatures.
  • Schedule all service dates with customer, third parties involved, agents, drivers, and delivery site account locations.
  • Obtain parking permits and Certificate of Insurance requests as required.
  • Provides move management services to successfully relocate their transferees.
  • Negotiates and prepares payments for any contract delay reimbursements due to late delivery.
  • Manages premier high volume national accounts and proactive approach to avoiding problems during the move in an effort to obtain high scores on customer evaluations submitted to the national account.
  • Coordinates available dates; and monitor the quality of the driver assignment and service provided by utilizing Quality Assurance Program (QAP)
  • Single point of contact for account customers, drivers, agents, dispatcher/planner and van line employees.
  • Documents all move management order activity in a weekly spreadsheet for submission to the Director of Customer Service and the Vice President of Sales.
  • Compiles and maintain daily, all current relocations in Access.
  • Any/all files must be updated in Access with the most recent activity that transpired with the move.
  • Provides assistance to the Sales Directors regarding inquiries relevant to their accounts or customer bookings.
  • Rate charges and collect from customer total charges due at delivery.
  • Management guided independent problem resolution regarding customer relocations.

OTHER FUNCTIONS: In the absence of the Manager, respond by taking the initiative in problem solving, on occasion, assist, and support the Manager with the training of new, as well as, existing staff.

REQUIRED EXPERIENCE: Two years previous experience in the moving industry. Working knowledge of the Tariff, corporate account contracts/summaries, dispatch, claims and accounting departmental procedures. Demonstrate ability to manage extensive volumes of work. Excellent communication, problem solving and organizational skills. Demonstrate ability to exercise sound judgment at a high level of maturity. Ability to work independently in a stressful and fast-paced environment. Previous Customer Service or transportation industry experience preferred. Experience with Microsoft Software including Excel, Word and PowerPoint. Occasional travel may be required.

EDUCATIONAL REQUIREMENTS: High school graduate or higher.

WORKING CONDITIONS: General office working conditions.

SAFETY HAZARD OF THE JOB: Minimal hazards.
