Overview

Reporting to the Senior Vice President, Development and Board Relations, the Special Assistant provides professional support on a variety of activities, special projects and strategy implementation to meet fundraising goals as outlined in Development's strategic plan. The Special Assistant helps the SVP attend to priorities and plays an active role in the successful operation of the Development Department and WWF overall. Applying expertise and training in policy and/or business, provides substantive support to SVP in preparation for meetings, develops memos and presentations, and coordinates with WWF staff and external stakeholders to ensure that actions are taken, and projects completed.



Responsibilities

Professional and Administrative Support to SVP

  1. Provides administrative support to SVP by:
  • identifying and tracking SVP priorities and responsibilities and managing SVP's schedule accordingly
  • monitoring deadlines, following up on delegated projects, and providing appropriate coordination on tasks that require research and interaction with Senior Management Team members, Network and WWF-US colleagues, donors, or consultants
  • ensuring that SVP is prepared for internal and external meetings
  • drafting and editing presentations, memoranda, talking points, letters, and other internal and external communications
  • managing SVP's travel and expenses
  • performing other administrative duties as assigned

2. Provides professional support to SVP by:

  • conducting research and synthesizing information on donor prospects, program priorities and strategies, and gathering budgetary information
  • managing communications, including preparing presentations on resource mobilization strategy for internal and external stakeholders
  • providing recommendations on strategies and processes to strengthen donor relationships and support SVP in achieving organizational fundraising and conservation goals
  • manages high level contacts of a complex and confidential nature both inside and outside the organization with mature discretion

Departmental Management and Coordination

  1. Attends meetings, as appropriate, with, or as a representative for, SVP and/or the department to document critical commitments and ensure prompt follow through as required
  2. Supports the Development Leadership Team and Fundraising Steering Committee by convening regular meetings, coordinating follow-up actions, and facilitating interactions between Development teams, resource teams, Goal teams and other internal stakeholders
  3. Works with Director-Development Planning & Operations to track and report on departmental expenses and revenues, to design and execute Development retreats and monthly staff meetings, and implement other Development Leadership Team priorities
  4. Facilitate the organization's communication and partnership with other nonprofit organizations, government and multilateral agencies, as needed
  5. Identify opportunities for, develop, and maintain efficient and effective management processes

Board and Donor Relations Support

  1. Working with Director of Board Relations, supports SVP to carry out Board management responsibilities
  2. Attends Board and National Council team meetings as a team member and supports planning and execution of Board-related business and meetings
  3. Strategize donor and partner meetings for SVP and assists in the planning and implementation of events for donors and Board and National Council members
  4. Performs other duties as assigned

Master's degree preferred;</li> <li>Two or more years of work experience or equivalent; project management an asset;</li> <li>Working knowledge of conservation and environmental policy required;</li> <li>Ability to effectively prioritize and execute a large number of activities at once under tight deadlines;</li> <li>Strong written and verbal communication skills in a professional context; foreign language considered an asset;</li> <li>Must have strong organizational, analytical, and quantitative skills;</li> <li>High degree of knowledge, critical thinking, competence, judgement and composure;</li> <li>Ability to work in a fast-paced, professional environment;</li> <li>Ability to operate with considerable independence and to take initiative;</li> <li>Technological skills: Advanced Microsoft PowerPoint and Excel;
