Reporting to the Vice President Sales and Marketing Hematology, the Senior Executive Assistant (SEA) will be responsible for providing senior level professional administrative support. The SEA's administrative work assignments will be complex in nature requiring absolute discretion and confidentiality, as well as considerable tact, judgment, creativity and initiative in resolving issues. The SEA must also be able to manage multiple priorities in a continually changing environment.

Responsibilities:
  • Proactively manage the executive's calendar with a focus on efficient time utilization and time conflict management, ensuring that VP is appropriately represented at all forums
  • Prepare the VP with pre-read and briefing documents in advance of daily meetings
  • Coordinate arrangements for and execute key tasks to effectively manage a variety of business meetings utilizing WebEx, Lync, and Telepresence technologies while maintaining a keen awareness of and sensitivity to global time zones as Clinical Development is a global activity and many of our collaborators are based outside the US
  • Schedule, coordinate, and track events reflected on VP's engagement plan, including All Staff meetings and special events
  • Facilitate VP's engagement with external Opinion Leaders in the field of Hematology through meetings and other non-face to face interactions. Partner with external opinion leader's executive assistant to facilitate interactions
  • Coordinate domestic and international travel arrangements amidst dynamic business requirements
  • Answer questions/furnish information to keep the executive's time free of minor detail work, including screening and directing incoming calls and correspondence
  • Compose and edit correspondence on behalf of the VP
  • Timely preparation and processing of expense reports
  • Maintenance and retrieval of filed information and correspondence to ensure immediate access to information
  • Prepare meeting agendas and PowerPoint presentations for staff meetings


Basic Qualifications:

Associate's degree and 4 years of Administrative experience

OR

High School diploma/GED and 6 years of Administrative experience

Preferred Qualifications:
  • Ability to project a highly professional image consistent with dealing with senior Amgen executives and internationally recognized experts in the Medical Community while projecting a positive image for Amgen
  • Ability to collaborate cross-functionally with Senior Executive Assistants and Administrative Coordinators who support key business partners and operational activities such as leading the coordination of the Therapeutic Area Technical Review Committee for Neuroscience.
  • Associate's degree
  • Executive assistance experience in calendar management, domestic/international travel, WebEx and Telepresence technologies
  • Ability to work with non-paper-based media such as EDM Teams and portable technology such as the iPad to ensure that VP has required daily pre-read and briefing material in a convenient format
  • Exceptional communication skills (oral and written)
  • Outstanding interpersonal skills
  • Flexibility amidst rapidly changing meeting and travel requirements
  • Self-starter who can function autonomously
  • Ability to pay close attention to detail and manage several projects simultaneously
  • Excellent Microsoft suite skills and knowledge of most Amgen systems including MyBuy for purchase orders and Box for document organization
  • Experience with the Self-Service Reporting Tool with the ability to retrieve department expense data, prepare reports, and track travel
  • Experience with planning and coordination of offsite meetings
  • Positive, can-do attitude and team-centric approach
