Position Purpose

The Program Coordinator works closely with the Deputy Director and other Center staff as a resource for Center-wide and campus-wide programs and events. The Coordinator manages the day-to-day administration and logistical support of assigned co-curricular programs as well as activities that support the Center's administrative functions.

  • Excellent verbal, written and interpersonal communication skills.
  • Excellent organizational skills and ability to respond appropriately to pressures, deadlines and frequent changes in priorities and schedules.
  • Proven ability to prioritize and manage multiple tasks daily with frequent interruptions.
  • Excellent problem-solving skills, sound judgment, and the ability to exercise discretion and confidentiality.
  • Detail oriented with a high degree of accuracy.
  • Demonstrated proficiency with current office technology and a wide range of software programs, such as but not limited to MS Word, Excel, PowerPoint, and cloud-based storage and sharing platforms with the ability and initiative to learn new systems and programs as needed.
  • Willingness to work evenings and weekends. Some travel may be required.
  • Commitment to diversity and to participation in a diverse community.


Minimum Experience

Three to four years of relevant experience, with some autonomy.

Bachelor's degree or an equivalent combination of relevant education and experience.

Program Coordination
Within the scope of Rockefeller Center program offerings:

* Participates in the planning, coordinating, and implementing of assigned programs and activities, including locating and reserving facilities and arranging for necessary services.
* Communicates and coordinates regularly with assigned programs' guest speakers and outside vendors.
* Coordinates and participates in the application, selection, and award process for assigned programs; gathers student survey data; prepares and sends follow-up correspondence with students; and responds to questions and inquiries.
* Provides program and event schedules, summaries, information, and any related materials for internal and external communication purposes.
* Ensures that assigned programs' applications, and promotional materials are kept updated.
* Ensures that assigned programs' digital records, correspondence, and other files are organized to ensure accuracy and accessibility of information. Updates and maintains contact lists.
* Participates in the budgeting process and assists in monitoring expenses related to assigned programs in consultation with the Finance Manager; provides relevant documentation for program-related expenses.
* Prepares and submits invoices and reimbursements for assigned programs for processing.
* Supervises and trains student program assistants for assigned programs.
* Makes recommendations for increased efficiency and quality for assigned programs.

Administration
Within the scope of Rockefeller Center program offerings:

* Screens and reviews incoming phone calls, correspondences, and emails for prioritization and action by appropriate colleagues, including responding to inquiries as authorized.
* Manages the Co-Curricular calendar and the Deputy Director's schedule, calendar, travel arrangements and reimbursements.
* Serves as a College Procurement and Purchasing Card System user to purchase project-specific and Center-wide supplies.
* Assists the Deputy Director with research and background information for development of new initiatives.
* Assists the Deputy Director and Finance Manager with Donor Relations and Stewardship including the Annual Friends Appeal.
* Works with the Assistant Director and Deputy Director on information technology projects.
* Assists with outreach initiatives and advises students about programs offered by the Rockefeller Center.
* Participates in weekly staff planning meetings and annual planning meetings.
