Job Summary: Under general supervision, this position develops, plans and executes all details of a public event such as working with the team on initial event concepts, vendor recruitment, volunteer training and oversight, site map design, rental company agreements and function as manager-on-duty during certain events. This position will also strive to generate attendance and revenue through both public events and rental sales. Nights, weekend and some-holiday work required. In addition to public events, duties will entail being an on-site coordinator for private events including, but not limited to weddings, receptions, corporate and internal events.

Compensation: $15.91 Per Hour + Commissions

Education/Experience: Bachelor's degree (B. A.) from four-year college or university; and one to two years related experience and/or training; or equivalent combination of education and experience. Strong knowledge IBM compatible computer equipment, Microsoft Word, Excel, Access and Outlook software. Financial Edge software knowledge is a plus. Excellent written, spoken and interpersonal communication skills required. Excellent organizational skills and extreme attention to detail plus excellent verbal and customer service. Ability to work nights, weekends and some holidays. Position requires a valid driver's license, insurable driving record and incumbent must have their own reliable car. Ability to manage and organize multiple large events/priorities at same time.

Essential Job Duties:

  • Coordinate all aspects of planning, implementing and physically executing events.
  • Coordinates private event client files and communication.
  • Organizes final walk throughs for private events.
  • Works with vendors to coordinate their participation in events at final walk through
  • Responsible for assigned functions/rentals in their entirety and is present for the whole event; maintains a positive, pro-active, solution-oriented demeanor when responding to or serving clients, members and visitors.
  • Ensures the safe and efficient over-site of client's events.
  • Notify on-site security or senior management of any unusual circumstances that may occur.
  • Ensuring all events are set up correctly.
  • Checks and coordinates deliveries are being sent to the correct locations, including but not limited to flowers, liquor, dance floors, tables and chairs.
  • Reports all damage to the property of DBG to the Manager of Venue Sales the next business day after the event.
  • Trouble shoots any situation to the satisfaction of the client as much as possible.
  • Ensures all caterers abide by all DBG rules including but not limited to kitchen use and clean up through inspection after the event has concluded.
  • Meets with clients and prospective clients and conducts onsite tours of Gardens with regard to facility rental.
  • Ensures Visitor Service employees are advised on all visitors entering DBG property for a scheduled event and are directed to the correct location.

Other Job Duties:

  • Works with all departments to assure highest quality experience for all DBG visitors.
  • Work closely with Volunteer Services to identify volunteer needs and manage all volunteer training for managed events.
  • Assists with physical event set-up
  • Maintains satisfactory working relationships with managers, co-workers and others.
  • Maintains a positive, helpful and solution-oriented demeanor when responding to or serving members and visitors.
  • Performs other duties as requested by management.
