The Program Coordinator of Department of Interdisciplinary Arts (MFA) is the first person many prospective students see when encountering our department. The Program Coordinator interacts importantly with faculty, students, alumni and guest artists, and also provides administrative and technological support for all facets of the MFA.

This position is a perfect opportunity for an ambitious self-starter with interests in writing and the arts to gain experience in a thriving and growing MFA department. The PC will hone skills in a variety of capacities, from event-planning and assisting with the publication of the inter-arts journal Mission at Tenth, to advising current students on navigating the Institute, working closely with faculty, and handling challenging administrative tasks in a university setting. You'll be working in a collaborative, diverse, and robust educational environment, one which requires flexibility, organization, excellent communication skills, and enthusiasm.



Job Requirements:
  • Bachelor's degree
  • Valid driver's license and insurance
  • Administrative experience, preferably in the arts or nonprofit sectors or higher education, or an MFA degree
  • Excellent writing, communication and interpersonal skills
  • Well-organized, attention to detail, and able to meet deadlines
  • Ability to interact with faculty, students, staff and guest artists with diplomacy
  • Capacity to work collaboratively as well as to take initiative
  • Fast learner who can juggle different tasks
  • Some fluency in computer systems (data bases, MS Word, Excel, Adobe) and basic creative tools (digital and video camera); ability and willingness to work with online interfaces such as Canvas


Additional Information:

RESPONSIBILITIES INCLUDE

  • Willingness to work evenings and weekends during MFA intensives as scheduled
  • Help plan the MFA Intensives (6 days per semester), orientations, and conferences
  • Assist with recruitment activities and general student advising
  • Create flyers and promotional materials; help with revision of Department Brochure, Student Handbook and catalog copy; help with final editing/proofreading of the inter-arts journal Mission at Tenth
  • Hold consistent and reliable office hours

PROSPECTIVE STUDENTS

  • Welcome prospective students by providing info about the department
  • Work with Admissions to maintain up to date lists of prospective students and to keep in communication through Facebook posts and with invitations to department events
  • Attend recruiting events (including AWP) and info sessions

CURRENT STUDENTS

  • Help students register for classes
  • Inform students of the class schedule for the upcoming semester
  • Advise students on course selections
  • Provide students with proper forms (mentor and outside reviewer packets)
  • Add students to the student listserv, and Facebook account
  • Manage information systems regarding students (My CIIS, Canvas)

1st YEAR STUDENTS

  • Send students information packet (welcome, fliers, schedule, policies, procedures)
  • Advise students of courses and CIIS community resources
  • Plan Orientation

ADMINISTRATIVE

  • Maintain MFA programs office and electronic files
  • Run reports and input student data on Jenzabar management system (submit AYFACTS forms every semester to Academic Affairs; maintain and update course schedules and catalogue with Registrar's office)
  • Help track students' enrollment and progress through the MFA; maintain student roster and records
  • Advise students of policies, procedures, and deadlines, and provide support as needed
  • Maintain database of current students and alumni
  • Help develop and maintain department page on MyCIIS
  • Mail and follow up on Course Packets to faculty; update course listings, and request, collect, organize and distribute faculty course descriptions and syllabi
  • Attend department meetings, prepare agendas, record and distribute minutes
  • Meet and work collaboratively with Scheduling Process Team and other Program Coordinators
  • Prepare mentor packet and assessment forms (with Department Chair)
  • Provide clerical support for Department chair and ad hoc committees (correspondence, check requests, course readers, office supplies, etc.)
  • Supervise work-study students (approval of hours, delegation of duties)
  • Meet with department chair on budget and department finances
  • Other duties as assigned

EVENTS

  • Work with the Communications Department to create flyers, postcards, posters, etc. to promote department events
  • Advertise via Facebook
  • Maintain and update the MFA page on the My CIIS website
  • Provide food/refreshments for events
  • Organize cross-promotion within Bay Area arts organizations
  • Promote DIY workshops

RAPPORT

  • Facilitate new student entry with department and CIIS community
  • Build relationships with artist communities and artistic organizations
  • Facilitate relationships between guest teachers and faculty within the department

EDUCATIONAL TECHNOLOGY

Work with Educational Technology Specialist to keep abreast of innovative technologies and new strategies for online learning

Duties are primarily performed in an office environment at a desk or computer terminal, including Saturdays of cohort weekends
