OEC is accepting applications for the open position of Executive Assistant. This is a full-time position located in Norman, OK that will occasionally work outside of normal business hours.

The Executive Assistant is responsible for handing the administrative needs of a member of the OEC Management team. This includes providing proactive support in many areas, such as, managing their calendar/schedule, preparing correspondence and monthly reports, scheduling internal and external meetings and appointments, and coordinating travel arrangements.

Responsibilities include:

  • Assists the executive in day-to-day tasks such as:
    • Acts as primary point of contact for the executive.
    • Coordinating and scheduling meetings and appointments.
    • Receiving and prioritizing incoming items requiring the executive's attention, including phone calls, emails, and mail.
    • Drafting responses and/or answering inquires as appropriate.
    • Managing the executive's calendar, ensuring they are aware of upcoming commitments and prepared for meetings.
    • Requesting documents and information from internal and external parties, following through to ensure receipt in a timely manner.
    • Assisting with special projects or requests as needed.
    • Completing miscellaneous tasks, errands and other requests as needed.
  • Communicates and collaborates with multiple internal personnel and departments and external parties, acting in a courteous, professional manner.
  • Prepares reports, meeting materials, presentations, communications, and other documents.
  • Makes travel arrangements and reservations as requested, including booking flights, hotels, and other transportation, conference registrations, and preparing itineraries.
    • Prepares and submits documents and receipts for travel reimbursement, per diem requests, and other forms.
  • Practices discretion when handling confidential information.
  • May attend Board meetings and/or Management meetings with the executive.

Ideal candidates meet the following qualifications:

  • Associate's degree OR minimum of 2 years' experience
    • Education should be in Business or a related field
    • Experience should be of a progressively increasing responsibility in administration, office assistant, or related area.
    • Work experience may be substituted for education requirement as well as additional education may be substituted for work experience.
  • Valid Driver's License
  • Strong verbal and written communication skills
  • Advanced knowledge of Microsoft Office applications
  • Working knowledge and familiary with desktop/laptop computers, smart phones, and tablets
  • Ability to: manage time effectively; maintain composure in high stress situations; detail oriented; being open to change and considerable variety; willingness to take on responsibiities and challenges; working with minimal superevision; actively looking for ways to help
