Community Counseling Centers of Chicago (C4) serves some of Chicago's most vulnerable residents. We are a pioneer in building hope and breaking down barriers to healing-from the personal to the systemicthrough an integrated, community approach.

In the depths of multiple traumas for our clientstheir personal health challenges, Covid, America's racial reckoning and huge unemploymentC4 found itself in a management and financial crisis. C4's Board responded, in June, with a dramatic leadership change. By August 1 all five members of Executive Team were new to their roles. With this leadership, by the end of September we will have:

Stabilized, temporarily, our cash position through collection of dated A/R, acceleration of billing and collection, creation of a lines of credit and the sale and leaseback of our North Avenue building.

Established a successful reopening plan, overwhelmingly endorsed by staff (76%)

Hired more than 30 new staff, the vast majority of whom will be in clinical, client-serving and, thus, billable.

Substantially enhanced morale and laid down a baseline and plan for future morale enhancements.

Applied for millions of dollars in new, often emergency, grants, winning $400k to date.

All of this will be achieved through a transparent, participatory process engaging the C4 Board, our clients, all of our personnel and a variety of community partners.

About the Role:

Provides administrative support and oversight in the billing process. A Oversees and articulates C4's mission and vision. Articulates C4's mission and vision.

The Executive Assistant (EA) provides a wide variety of support and assistance to the President & CEO (CEO) to ensure efficient and quality performance of the Executive office. This position represents the office of the President & CEO, befitting that of the CEO's vision and the organization's mission. The EA is a member of the Executive and Leadership Teams and serves as primary support to the organization's Board of Directors.


  1. Manage and maintain the President & CEO's daily schedule through planning and scheduling meetings, conferences, and other activities.
  2. Arranges travel for President and CEO and other members of the Executive and management teams as directed by the President and CEO.
  3. Handle all administrative tasks, including, but not limited to, processing incoming mail, answering phones, file maintenance, preparing and managing distribution of correspondence materials including letters, proposals, reports, and emails for the Executive office.
  4. Maintain the Executive office budget by monitoring spending costs and preparing expense reports.
  5. Support the President & CEO's role in fundraising activities in coordination with the Development department, including the coordination of donor meetings and preparation of materials as needed.
  6. Coordinates agency's Monthly and Annual Staff Meetings, prepares presentations, and consults on meeting plans with the V.P. Human Resources
  7. Provide all necessary support for all activities and functions of the Board of Directors and committees, including, but not limited to, the preparation of agendas, distribution of materials and transcribing of meeting minutes.
  8. Responsible for maintaining and ensuring all Board member lists and information are up to date.
  9. Manage the creation of the Board materials for distribution at Board meetings and functions. Has direct responsibility for the creation of the Board books via Decisions 365, including collecting information, printing, and assembling the books for distribution at the Board meetings.
  10. Ensures compliance with regulatory bodies, e.g., files Annual Report with the Secretary of State, updates Assumed Names; and develops budget continuation resolutions, delegation of authority consents, Written Consents in Lieu of Meetings, etc.

Leadership Accountabilities:

  1. Supervises Administrative Assistant positions
  2. Prioritizes own work and work of Executive Offices Administrative team
  3. Checks the quality and timeliness of own work and projects, and oversees the work and timeliness of Executive Office Administrative team

Additional Responsibilities:

1. Serve as backup to answer phone lines, as needed.

2. Perform other related duties and participates in special projects as assigned.


Minimum Hiring Specifications:

  • Bachelor's degree preferred or equivalent work experience.
  • Five or more years of executive level office management experience and/or training specific to performing the duties assigned may be substituted for educational requirements.
  • At least 2 years' experience in an executive administrative assistant role, with direct experience in coordinating activities and meetings, event planning and managing schedules.
  • Experience in a non-profit environment preferred.

1. Must have flexibility with work schedule, as necessary, to support evening and/or weekend activities.
