Position Summary

Provides executive level coordination for the Associate Dean of Online Programs, the Health Administration and Interprofessional Healthcare Studies Departments, and the Pre-Matriculation Program (PMP) within the Pre-Professional Healthcare Studies department.

Who We Are

The Pre-Matriculation Program offers highly motivated post-baccalaureate students who are members of underrepresented groups or come from disadvantaged backgrounds the opportunity to enroll, at no cost, in a non-degree curriculum track. These tracks give students the ability to experience medical school-level coursework while preparing to take or retake the MCAT and grants additional, competitive academic development and experience to students seeking to improve their competitiveness as a medical or health professions degree applicant.

The online programs in the College of Health Professions provide opportunities for practicing health professionals, as well as students in pre-licensure programs, to earn certificates and advanced degrees that will support their career goals through fully remote and asynchronous instruction.

Essential Duties & Responsibilities
  • Works independently to provide executive coordination for the Associate Dean, the Program Director and Department Chair to assure all parties are supported in their administrative needs and that academic programs run smoothly and effectively.
  • Utilizes critical thinking and proactively anticipates issues before they occur and independently resolves them to a successful conclusion.
  • Performs complex administrative duties requiring oversight, coordination, follow up, analysis and attention to detail.
  • Prepares a variety of written correspondence, ancillary reports, procedures, and other materials.
  • Contributes to data collection, management and creation of reports for the departments, IBHE and accrediting bodies as well as for other needs in order to be in compliance with department, university or agency guidelines.
  • Manages human resource, purchasing, and budgetary financial transactions for the departments.
  • Creates and manages content for learning management platforms (D2L, Exam Soft, etc.).
  • Assists the Associate Dean and Department Chairs in collecting, preparing, and presenting course and program assessment data.
  • Assists Course Directors with creating and editing d2l course shells and schedules.
  • Works with the Office of Admissions and Enrollment to coordinate PMP student applicant consultations and works directly with prospective students to coordinate medical shadowing or volunteer opportunities.
  • Answers PMP applicant questions/responds to applicant inquiries regarding program qualifications.
  • Creates and maintains PMP student calendar.
  • Manages travel arrangements for the Pre-Matriculation Program Director, as needed.
  • Facilitates department meetings and assists in committee and small groups work by taking meeting minutes and collating and producing reports using data generated by faculty and program/department Chairs.
  • Coordinates meeting rooms if needed, and schedules, announces, and establishes access to online platforms for various meetings, classes and events.
  • Responds to and resolves all inquiries regarding program application or student issues using outstanding customer service skills and positive problem resolutions.
  • Assists the departments with faculty appointment processes.
  • Maintains all files neatly and efficiently, making certain all pertinent information is immediately available when needed by the Associate Dean, Program Director or Department Chairs.
  • Communicates emergent situations to the Associate Dean, Program Director and Department Chairs with urgency
  • Assists with special projects as assigned by the Associate Dean, Program Director and Department Chairs
  • Performs other duties as assigned.



Required Education & Experience
  • HS diploma or GED required.
  • Evidence of work experience in a medical or higher education setting, health care administration or equivalent that required a high level of independence and critical thinking.
  • Must achieve satisfactory results from a background check



Required Knowledge, Skills, & Abilities
  • Computer literate; proficiency in MS Office Suite including Word, Excel, PowerPoint, Outlook, and other database management applications.
  • Excellent verbal, written and interpersonal communication skills.
  • Strong customer service mindset.
  • Ability to work/interact with diverse populations showing respect and sensitivity for cultural differences.
  • Ability to exercise independent judgment and initiative, determine priorities, handle detailed tasks with accuracy, handle multiple projects simultaneously, meet strict deadlines and follow through on all assignments.
  • Ability to work independently and as a team member.
  • Commitment to confidentiality; ability to work with sensitive information, records, and reports.


Preferred Qualifications
  • Bachelors degree preferred or equivalent experience or skills commensurate with a bachelors degree.
  • Knowledge and experience in higher education student processes and principles, and program design(s) preferred.
