The San Francisco Conservatory of Music is looking for an Assistant Financial Aid Counselor to support daily operations in the Financial Aid office. Reporting to the Director of Financial Aid, the incumbent will serve as a point of contact for students, parents, and colleagues in the Office of Admission and Student Billing.

Principal Duties and Responsibilities

The Assistant Financial Aid Counselor is a highly engaged multi-tasking team player with a high tolerance for duties that require timely execution with strong attention to detail. Specific duties include but are not necessarily limited to:

  • Checking for new student applicants and inputting financial aid data into PowerFAIDS that will include merit vs. need, grade level, grade point average, and other supporting documentation
  • Creating and maintaining files for all Financial Aid applicants; removing files for those who are declined; collecting supporting documents for all remaining applicants; and updating PowerFAIDS as additional documentation arrives
  • Maintaining files for financial aid recipients, which include award letters, tax forms, and other financial aid documentation and then preparing the files of students who have graduated or withdrawn for offsite storage
  • Preparing letters that request Financial Aid Information (FAFSA) from domestic students and International forms and bank statements from International Students
  • Identifying student files that require additional verification; engaging students and/or parents via phone and email to ensure timely completion of application forms and provision of supporting documentation; and pulling files as they are denied, withdrawn or declined
  • Handling the import and export of data from the Student Aid Internet Gateway (SAIG) for FAFSA imports and the College Board website for Profile imports
  • Responding to questions and inquiries from students and parents through email, phone and in person
  • Preparing Award Letters for new students (printing in PDF, and uploading to the Slate Portal)
  • Sending reminders to continuing students to reapply for FAFSA and to complete Financial Aid Applications and then collating reapplications with award summaries and preparing copies for the Scholarship Committee
  • Downloading disbursement files and verifying correlation between student loan checks and award amounts in student files and providing a report of funds received to the Student Accounts Manager with addresses for any reimbursements.
  • Performing mail-merge and preparing loan receipt letters
  • Verifying that students have completed their loan entrance and exit counseling online
  • Verifying Direct Loan requirements with students
  • Assisting the Director of Financial Aid in preparation for the annual Financial Aid audit
  • Maintaining continuous contact and collaboration with the Office of Admission and Student Billing
  • Performing other duties as needed


  • An Associates of Arts or equivalent is desirable
  • A minimum of two years of previous experience providing high quality service in Financial Aid
  • Ability to work on and solve mathematical problems
  • Patience and ability to work with many interruptions
  • Ability to maintain complex records with attention to detail and commitment to accuracy
  • Ability to listen to students and parents, understand their concerns, and provide realistic options
  • Exercises discretion and good judgment and knows when to escalate concerns to the Director of Financial Aid
  • Commitment to working as a team and maintaining regular communication with the Director of Financial Aid
  • Demonstrates initiative and ability to work independently
  • Intermediate proficiency with Microsoft Excel and Word and familiarity with Google Drive
  • Excellent written and verbal communications skills
  • Previous experience working with databases
