We are seeking an energetic, organized, professional with solid management and team-building experience. Must also have excellent communication skills (written and oral) to serve as an essential member of the NCCC Administration Office. Reports to and works closely with the Chief Operating Officer/Associate Director for Administration & Scientific Affairs. Responsible for managing and coordinating the integration of administrative services provided by the immediate administrative group and the Administrative Reports from the wider range of NCCC services. Facilitates Research Program support and supervises Research Program Associates and other team members as they collect, analyze, and report data as required by the department, the institution, and grant funding agencies (e.g., National Institutes of Health / National Cancer Institute). Successful candidate will hold a bachelor's degree and have seven or more years (or the equivalent) of administrative and supervisory experience including mentoring/training of personnel, and policy and procedure development/analysis. Candidate must have an ability to work effectively as a team leader and member. External grant preparation experience would be an asset. Familiarity with Dartmouth processes, procedures, and policy preferred. Must demonstrate a commitment to diversity and an ability to serve a diverse population.

Key Accountabilities

Research Program Support (70% efforts)

  • Ensures effective and efficient administrative support for Research Programs, Cancer Center Leadership, and wider administrative services provided.
  • Directs the activities of the Research Program Associates: Sets priorities, establishes timelines and processes to assure that departmental needs and deadlines are met.
  • Facilitates and optimizes Research Program support through supervision, training and mentoring of Research Program Associates. Evaluates workload and skillsets, assigns work and coverage, and monitors progress to ensure that deadlines are met while providing staff time to participate in internal and external professional development opportunities and cross-training.
  • Monitors team performance and recommends schedule changes, salary adjustments, cross-coverage or resource additions.
  • Plans, monitors, and manages internal projects from initiation through completion as assigned by Cancer Center Leadership. Leads or coordinates project planning, resources, staffing, supply management, progress reporting, troubleshooting and people management. Exercises high level of judgment and independent thinking to resolve project or program challenges.
  • Oversees collection, review, updating and dissemination of NCCC primary data, including Membership data/profiles, Member publications, Other Support, Data Tables I (Leadership Assignments) & II (sponsored research awards), and Programmatic activities.
  • Ensures project results meet requirements regarding technical quality, reliability, and deadlines.
  • Oversees compilation and updating of biosketches/profiles on Members, NCCC Committee participants, External Advisory Committee members, Clinical Oncology Group {COG) leaders, and other key personnel as needed for pre-award applications and funding agency reporting.
  • Oversees collection, reporting, and updating of COG Membership and publications.
  • Works with NCCC Information Technology (IT) Director and Administrative Coordinator- NCCC Laboratories on special projects as assigned by Leadership, such as Member publication impact factors, and inter-/intra- programmatic collaboration. Assumes responsibility for the analysis and reporting of same.
  • Works with Information Technology Team and Leadership to develop, implement, and maintain comprehensive database system for Cancer Center
  • Facilitates development of procedures used by Program Associates.

Recruitment and Retention of Faculty & Staff (25% Effort)

  • Serves as Dartmouth's Recruitment and Retention ( DORR ) Specialist for NCCC faculty and staff and Geisel Biomedical Research Faculty and staff.
  • Oversees NCCC faculty recruitment processes to ensure that policies and procedures are followed in a timely manner. Provides updates on progress/status to Cancer Center Leadership.
  • Serves as initial resource regarding personnel issues, assisting supervisors or personnel on procedure and policy toward resolution.
  • Serves as NCCC liaison with Geisel Leadership and Dartmouth's Office of Human Resources specialists navigating through Geisel and Dartmouth Human Resources processes and procedures.
  • Works closely with NCCC Director of Finance and Finance Research Administrators on recruitment financial aspects related to DORR .
  • Develops and advises NCCC Leadership and supervisors on NCCC policy for onboarding and offboarding of staff.

Other Administrative Facilitation (5%)

  • Participates in the development of NCCC Policy. Identifies policy precedents or benchmarks in similar settings.
  • Advises faculty and staff on departmental and institutional compliance requirements (e.g., flu immunization, e-learning modules, performance reviews, performance improvement plan process, annual salary setting) and ensures compliance among NCCC faculty and staff.
  • Oversees archiving and retrieval of records of past administrative considerations and transactions, including Sharepoint storage.
  • May serve on Geisel or Dartmouth committees or participate on focus/planning groups.
