This is a regular part-time position that will support both the French and Italian & Spanish and Portuguese departments.

Position Purpose

Under the supervision of the Department Administrator, efficiently and effectively performs a variety of administrative and logistical activity to support the supervisor, faculty, and department.

Key Accountabilities

General Office Support 50%

  • Assists with coordination and support of day-to-day activities of the Department.
  • Types correspondence, reports, and instructional materials.
  • Reviews print and online materials for accuracy and consistency as needed.
  • Scans and/or photocopies materials as requested.
  • Assists with tasks related to the department's Apprentice Teacher program, including the production and maintenance of instructional and hiring materials and supplies, timesheet review, and other relevant activity as assigned.
  • Assists with tasks related to student office assistants, including training in department office procedures and providing clear instruction and information regarding tasks assigned to them.
  • Oversees and maintains department DVD and book libraries.
  • Orders, stocks and maintains a satisfactory inventory of office and refreshment supplies, and other items as requested.
  • Maintains the orderliness and cleanliness of hot and cold beverage equipment, areas, and related supplies.
  • Assists with maintaining the orderliness of the department office and conference room.
  • Manages outgoing mail and shipments as necessary, sorts and distributes incoming mail and shipments.
  • Using an electronic form system, approves and submits expenses charged to the departmental procurement card, collects and organizes receipts, and reconciles the monthly credit card statement.
  • Assists with the design and production of promotional materials for events, courses and programs.
  • Assists with the maintenance of departmental bulletin boards and the inventory of printed promotional materials.
  • Assists with the maintenance of the department website.

Events activity 30%

  • Assists with making hotel, restaurant and on-campus room reservations.
  • Assists with disseminating event promotional materials electronically and throughout campus.
  • Assists with purchasing supplies for events.
  • Provides logistical and administrative support for events as necessary.

Communication 20%

  • Communicates respectfully with a diverse community, serves as a point of contact for inquiries to the department and as a liaison between College employees, alumni, students and those outside the College.
  • Monitors the department email account and forwards or replies to incoming email.
  • Responds to in-person inquiries or refers them to the appropriate individual or department.
  • Creates and posts a faculty directory with faculty office hours at the start of each term.
  • Assist with disseminating information via social media outlets, including Instagram, Facebook and Twitter.
