Position is responsible to oversee and manage the Alfred State College Development Fund (DF) General Ledger and subsidiary accounts: Monitors/controls bank activity, fees, adjustment and return items, and cash balances. Maintains and reconciles DF bank accounts, bank statements, and investment accounts. Compares gift reports to bank deposits and determines the appropriate disposition of deposited funds. Reconciles Razor's Edge database to the general ledger (GL). Prepares and coordinates funds transfers for endowments, gifts, and administrative funds. Prepares disbursement checks for DF invoice payments and DF fund disbursements. Resolves fund and investment account discrepancies.

Principal Duties and Responsibilities

Maintains and reconciles DF bank accounts, daily bank balances, bank statements, and investment pool accounts.
Analyzes donor gifts, compares gift reports to bank deposits, and determines the appropriate disposition of deposited funds.
Reconciles Razor's Edge database to the general ledger (GL). Prepares and coordinates funds transfers for endowments, gifts, and administrative funds.
Organizes, coordinates, records and deposits funds received by the agency and the authorized disbursement of those funds.
Verifies, allocates, and posts details of business transactions to subsidiary accounts and general ledger.
Completes and analyzes records through trial balance and reconciles balances in accounts.
Compiles reports to show statistics such as cash receipts and expenditures, accounts payable and receivable, profit and loss, and other items pertinent to operation of business.
Completes monthly reconciliation of all bank accounts as well as all other reconciliations.
Prepares quarterly/monthly/yearly forms required and ensures that they are filed timely.
Participates in defining and improving system processes and projects.
Prepares internal/external audit support documents and spreadsheets. Complies with and participates in all audit support activities. Analyzes trends, costs, revenues, financial commitments and obligations incurred to predict future revenues and expenses.
Responsible DF budget preparation, reporting, monitoring, and analysis, including processing of all expenditures. Prepares disbursement checks for DF invoice payments and DF fund disbursements.
Monitors all division accounting activity and reporting.
Advises and consults regarding gifts and donation processing.
Maintains the overall quality of the accounting system and ensures the integrity of systems processing and the maintenance of the accounting files.
Establish and maintain accounting procedures and institutional gift donation processing and reporting procedures.

Collect and compile data for report preparation and when appropriate prepare financial reports and spreadsheets for both internal and external recipients including the University Controller's Office and the Office of the State Comptroller.
Retain records of all transaction, accounting systems, and events as defined by the retention policy for record keeping and auditing.
Analyzes procedures, policies, processing systems and functions and recommends changes.
Attend education and training programs as appropriate to increase awareness and understanding.
Annual scholarship calculations.
Working on college committees and service to the community
Working with DFB Finance Committee - Liaison to Finance Committee(s)
Working with investment managers
Securing Auditors as directed by DFB

Job Requirements:

Qualifications:

An associate's degree in accounting or related field and two years of administrative experience. A bachelor's degree in business administration with accounting experience is preferred. Candidates must possess a strong background in general ledger accounting, experience with financial/computerized accounting systems, must have a strong knowledge of accounting principles; excellent organizational skills, oral and written communication and interpersonal skills, a high level of initiative and the ability to work in a collaborative environment are also essential. Advanced knowledge of Microsoft Excel, experience with database tools and experience in higher education and knowledge of fund accounting are preferred.

Knowledge of state and federal regulations.
Knowledge of university and state policies, procedures, and guidelines.
Knowledge of higher education environment and its relationship to the university community.
Knowledge of standard financial procedures.
Knowledge of college and/or university fund accounting.
Knowledge of generally accepted accounting principles.
Knowledge of computer systems (word processing, spreadsheets, databases etc.).
Ability to establish and maintain effective working relationships internally and externally.
Ability to communicate effectively.
Ability to effectively evaluate situations and make appropriate decisions.
Ability to complete assigned tasks with a minimum of supervision.
