Job Description:

Amherst College invites applications for the Academic Department Coordinator position. The Academic Department Coordinator is a 30 hour per week (academic year), 20 hour per week (summer) position, job group and level AO-4. Given Amherst's distinction as one of the most diverse liberal arts colleges in the country, the successful candidate will demonstrate the w ays in which they bring value to and will work towards supporting a broadly diverse community.

The Academic Department Coordinator provides administrative and logistical support for the Major Program in Latinx and Latin American Studies, serves as a liaison to the diverse campus community, and ensures the efficient operation of the department office. Facilitates smooth administration of the department by collaborating with other offices, scheduling business, and supporting faculty. Assists in managing the logistics of the curriculum, student enrollment, and major requirements. Takes appropriate actions to support a diverse workforce and participates in the College's efforts to create a respectful, inclusive, and welcoming work environment. Provides logistical and administrative support for the history department.

Summary of Duties and Responsibilities
Administrative Support
  • Assist the faculty with course preparation and evaluation, correspondence, majors, and professional activities
  • Effectively communicate with a diverse set of faculty, staff, and students, actively contributing to an intentionally inclusive and welcoming environment for all.
  • Maintain inventory and supplies
  • Create and maintain files and electronic resources including the website, alumni database, electronic repositories for course materials, and students' electronic portfolios
  • Respond to program inquiries
  • Track expenses for program accounts, reconcile monthly expenses, and project balances
  • Process invoices and reimbursement requests
  • Process student payroll if needed
  • Update the Course Catalog, communicate course schedules to the Registrar, and maintain the list of LLAS courses at Amherst College
  • Obtain copyright permissions
  • Supervise student employees

Events Coordination
  • Coordinate travel and accommodations for visitors
  • Create publicity materials including posters and email communications
  • Coordinate logistics for program receptions, events, and dinners as well as the annual LLAS Student Symposium
  • Coordinate activities associated with Latinx Heritage Month with student organizations, faculty, and community partners
  • Provide program support for a diverse set of students, including La Causa and Casa
  • Organize the Latinx receptions in conjunction with Human Resources

Support of the history department
  • Provide information about the major in response to student or faculty inquiries
  • Administer History major records and declarations of the major
  • Assist in coordinating, scheduling, and listing of History courses
  • Assist with course preparations and changes
  • Assist faculty and the Chair in managing issues that arise with respect to student enrollment, credit, major declarations, etc.
  • Assist with syllabi and obtaining copyright permissions; maintain department webpage, department calendar; collaborates with Office of Communication to advertise department events
  • Serve as the secondary point of contact in the Department of History
  • Effectively communicate with a diverse set of faculty, staff, and students, actively contributing to an intentionally inclusive and welcoming environment for all.
  • Maintain inventory, supplies, and department common spaces
  • Maintain department files and electronic resources, excluding confidential materials
  • Manage budgets, process invoices, and track expenses for department accounts
  • Respond to departmental inquiries
  • Assist in faculty searches by coordinating search process logistics for candidate review, interviews, and communication
  • Assist in reappointment and tenure cases by managing the course evaluation process for non-tenured faculty, maintaining comprehensive records, and assisting the department in preparing materials for review
  • Schedule and coordinate department events
  • Support faculty and the Chair with other administrative items such as equipment requests, external reviews, etc.

Qualifications
Required:
  • High School Diploma or equivalent
  • 3 years of related experience
  • Strong written and verbal communication, interpersonal, customer service, and diplomacy skills
  • Demonstrated organizational and time management skills
  • Attention to detail
  • Ability to take initiative, and work independently and collaboratively
  • Proficient in Microsoft Office with the ability to learn new software programs
  • Experience working collaboratively with a diverse community

Preferred:
  • Associate's Degree
  • More than one year of related experience
